School management software

Run your whole school in one system.

RaivatEdu brings admissions, fees and instalments, attendance, certificates and parent communication into one place — so your office stops stitching spreadsheets together and starts running the school from a single student record.

What it is

One record per student, not five lists.

School management software is a single system for the operational side of a school: the inquiries you are chasing, the students you have enrolled, the fees they owe, the attendance you mark and the messages you send home. Done well, it means all of that describes the same student, in the same place, rather than living in a fee register, an admissions sheet, an attendance book and a phone.

RaivatEdu is built that way on purpose. Admissions, fees, attendance, certificates and communication all hang off one student record, so your front office opens a learner and sees the whole story — what they enrolled in, what they have paid, where they are in the term and every conversation you have had.

The modules

Everything a school office runs, under one login.

Admissions

Capture every inquiry — website forms, Meta and Google lead ads, WhatsApp, phone calls and walk-ins — as one record per prospective student. Run a visual admissions pipeline, then convert an inquiry into an enrolled student in a single step without re-keying anything.

Students & batches

One record per learner, with the documents, course interest and family contacts your office actually uses. Group students into batches with seat limits that hold, so a class cannot be over-filled by two people enrolling at once.

Fees & instalments

Build fee structures, split them into instalment plans, and record part payments as they arrive. Receipt numbers are allocated in sequence and cannot be rewritten after the fact, and a collection view keeps dues and ageing in front of your team.

Attendance

Mark attendance for a batch, session by session, from the office or the mobile app. The register is quick to fill and tied to the same student record as fees and admissions, so nobody maintains a second list in a spreadsheet.

Certificates

Issue certificates in your own wording, from bonafide letters to course completions, and keep every revision so you always know what was printed and when. The text editor is yours to control; there is no rigid template to fight.

Communication

Reach students, parents and guardians over WhatsApp, email, SMS and phone — all from the student record, with the full conversation kept on the timeline. Parents do not need to install anything to hear from you.

Reports

See collections, dues, ageing and admissions KPIs on a dashboard you can click straight into the underlying records. Leadership gets the numbers; counsellors get the list of who to follow up today.

Access & security

Role-based access is enforced in the database, not just hidden in the interface, so staff see only the students, fees and reports their role allows. New accounts start with least privilege and open up by role.

Each module is covered in depth in the feature inventory, where every claim is checked against what the product actually does.

Benefits by role

The same system, worth it for everyone who touches it.

For administrators & owners

One system instead of five spreadsheets and a WhatsApp group.

  • A single source of truth for admissions, students, fees and attendance.
  • Collections, dues and ageing visible without chasing the accounts team.
  • Access control by role, so sensitive fee and student data stays in the right hands.
  • Multiple campuses or branches in one account, with a combined view for leadership.

For teaching & office staff

Less admin, more of the day spent with students.

  • Mark a batch's attendance in seconds, from a desk or the mobile app.
  • Open a student and see fees, documents, attendance and every past message in one place.
  • Log a note or send a WhatsApp straight after a conversation, before it is forgotten.
  • Staff accounts scoped by role, so each person sees what their job needs and no more.

For parents & guardians

Kept in the loop on their own phone, with nothing to install.

  • Updates and reminders arrive over WhatsApp, email or SMS — the channels families already use.
  • Fee instalment details and receipt numbers are easy for your office to share on request.
  • One consistent point of contact instead of messages from several teachers and numbers.
  • No new password to remember and no app to download.

How to choose

How to choose a school management system.

Six questions that separate a system you will still be using in three years from one your office quietly abandons by the second term.

  1. 01

Start with your real workflow, not a feature list

Every school management system has a long feature list. The one that fits is the one that matches how your office already works — how inquiries arrive, who follows them up, when fees fall due and who marks attendance. Map that first, then judge the software against it.

  2. 02

Insist on one record per student

The whole point of a school management system is that admissions, fees, attendance and communication describe the same student, not four disconnected lists. If a product keeps fees in one place and the student profile in another, you will be reconciling them by hand forever.

  3. 03

Look hard at fees and instalments

Fees are where a school management system earns its keep. Check that it handles instalment plans and part payments the way you actually bill, that receipt numbers cannot be quietly edited, and that dues and ageing are something you can see rather than calculate.

  4. 04

Ask what it honestly does not do

Treat an over-complete feature list as a warning, not a reassurance. A vendor that is clear about its edges — what is live, what is on the roadmap, what you will still do elsewhere — is far easier to trust than one that claims everything and delivers half.

  5. 05

Check how your families will be reached

Parents respond on WhatsApp far more than they log into portals. A school management system that can message over the channels families already use will keep communication flowing better than one that expects everyone to adopt a new app.

  6. 06

Plan the switch before you sign

Ask how your existing student and fee data comes across, who maps the columns, and how duplicates are handled. The migration is usually the hardest week of adopting any school management software, so it should be a planned step, not an afterthought.

What RaivatEdu does not do yet.

We would rather tell you the edges than let you find them after you have switched.

RaivatEdu does not run exams or issue report cards, and there is no gradebook — marks and results stay in whatever you use for them today.

There is no parent portal or parent app; parents are reached over WhatsApp, email and SMS from the student record instead, so they never need a login.

Attendance is marked per batch and per session, but we do not publish attendance percentages until the register's data model is tightened, so totals stay indicative.

The feature inventory keeps the current, honest list of what is live and what is not.

  • It is a single system for running the operational side of a school — admissions and inquiries, student records, fees and instalments, attendance, certificates and communication with families — so the same information is not kept in several disconnected spreadsheets. RaivatEdu is school management software built around one record per student, so fees, attendance and messages all describe the same learner.

  • Admissions, students and batches, fees and instalments, attendance capture, certificates, communication over WhatsApp, email, SMS and calls, reporting, and role-based access control, with a mobile app for counsellors and staff. It does not run exams or issue report cards, and there is no gradebook, so marks and results stay in your existing tools for now.

  • Yes. You can build fee structures, split them into instalment plans, record part payments as they arrive, and allocate receipt numbers in sequence that cannot be rewritten afterwards. A collection view keeps dues and ageing in front of your team so nothing slips.

  • Attendance is marked per batch and per session, from the office or the mobile app, against the same student record as fees and admissions. RaivatEdu does not yet publish attendance percentages, because the register's data model is being tightened first, so totals stay indicative until then.

  • Yes, over WhatsApp, email and SMS sent from the student record, with the conversation kept on the timeline. There is no parent portal or parent app today; families are reached on the channels they already use instead, so there is nothing for them to install.

  • Yes. Inquiries from website forms, Meta and Google lead ads, WhatsApp, calls and walk-ins arrive as one record per prospective student, move through a visual pipeline, and convert into an enrolled student in one step when they are ready.

  • Yes. You can import from Excel, Google Sheets or a previous system. Our onboarding team maps your columns, cleans duplicates and checks the import with you before go-live, so you are not starting from a blank database.

  • Yes. Each campus can have its own batches, counsellors and workflows, while leadership sees a combined view across the group — useful for a school running several branches or programs from one account.
