The first hour: a practical guide to faster inquiry response
Why the first reply matters more than the tenth, and a simple operating rhythm to answer every inquiry within the hour.

Families rarely enquire at just one institution. The first team to reply with a useful, personal answer sets the tone for everything that follows — and often becomes the default choice.
Why speed matters
An inquiry is at its warmest the moment it's sent. A student has the brochure open, a parent has a question in mind. A reply a day later competes with everything else in their inbox and on their phone.
A simple operating rhythm
- 1Route every new inquiry automatically — by course, campus or workload — so nobody has to decide who picks it up.
- 2Send an instant acknowledgement on WhatsApp or email that includes one genuinely useful thing: the fee sheet, the next counselling slot, or the eligibility criteria.
- 3Create a call task due within the hour for the assigned counsellor, and escalate to a team lead if it's missed.
- 4Review yesterday's response times every morning in a 10-minute stand-up.
What to measure
- Median time to first human response
- Share of inquiries contacted the same day
- Response time by source and by counsellor
Start with the median rather than the average — a handful of late replies can hide how quickly most families actually hear back.
