Enrollment and renewals

Enroll first, price second. Then renew on time.

Enrollment and renewals answer the two questions that decide a coaching institute's year: is this student on a batch, and are they coming back next term?

What this covers

  • 1Enrollment, in the order it happensEnroll onto a course or a batch
  • 2Renewals, before the term endsRenewal tracking per student
  • 3Tied to the fee planPricing follows the enrollment

In short

What does enrollment & renewals do in RaivatEdu?

Enrollment puts a student onto a course or batch within a defined enrollment period, and the flow is deliberately ordered so the enrollment exists before it is priced. Renewals track who is due to come back, using renewal rules and per-institute renewal settings you configure once, with a renew action available straight from the record.

What enrollment & renewals does today.

Every line here is a feature that exists in the product right now. Anything still being built is listed further down, on the same page.

01

Enrollment, in the order it happens

A student is enrolled onto a course or batch, and then that enrollment is priced. The sequence is enforced by the flow rather than left to whoever is doing the data entry, because pricing something that does not exist yet is where the reconciliation problems start.

  • Enroll onto a course or a batch
  • Defined enrollment periods
  • A sequence that governs the order of the flow

02

Renewals, before the term ends

Renewal is the biggest recurring revenue question an institute has, and it is usually answered too late. Renewal tracking tells you who is due, using rules you set once instead of a reminder somebody keeps in their own calendar.

  • Renewal tracking per student
  • Configurable renewal rules
  • Per-institute renewal settings
  • Renew from the record

03

Tied to the fee plan

Because the enrollment is priced after it exists, the fee plan that follows is attached to a real enrollment. That is what makes the dues and ageing views on the fee side trustworthy.

  • Pricing follows the enrollment
  • Fee plan attached to a real enrollment
  • Feeds the dues and ageing views

Where this stops

What enrollment & renewals does not do.

We would rather you read this before you buy than discover it in week two. If something here is a requirement for you, tell us and we’ll be straight about the timeline.

  • Renewal is tracked and actioned by your team from the record. Automatic reminders reaching a guardian are not something we claim yet.

FAQ

Enrollment & Renewals, answered plainly.

  • Because that is the order it happens in real life: a student joins a batch, and then you work out what that costs them. Pricing a plan that is not attached to a real enrollment is where fee reconciliation goes wrong, so the flow enforces the sequence.

  • Renewals are tracked per student against renewal rules you configure, with settings held per institute, and a renew action available straight from the record. You set the rules once rather than rebuilding a reminder list every term.

  • No, and we are deliberate about not claiming that. Your team sees who is due and acts from the record. A guardian delivery path exists in the product but has a known defect, so it stays off this page until it is fixed.

  • It is the window an enrollment belongs to, which is what lets you separate this term's cohort from last term's when you are reporting or renewing.

  • Enrollment is recorded per course or batch, so a learner can hold more than one enrollment. Fee plans, though, are limited to one live plan per student, which is the rule that prevents double-billing.
